1. Your school decides
Your child’s school uses Acadvio to run attendance, homework, exams, notices, messages and fees. The school decides what it records about your child and your family, and why: under India’s Digital Personal Data Protection Act, 2023, the school is the Data Fiduciary.
Acadvio is made by Boffin Coders Private Limited. We store and process the school’s data only to run Acadvio for the school, on its instructions. For questions about your child’s records, please contact your school first.
2. What the school keeps in Acadvio, and why
| Information | Used for |
|---|---|
| Your child’s name, class, section, roll and admission numbers, date of birth, gender and photo | Identifying your child in school records and in the app |
| Attendance, leave, homework, marks, report cards and certificates | Teaching, reporting progress and issuing records |
| Fee records, receipts and payments | Billing, receipts, the 80C tuition fee certificate and the school’s accounts |
| Your name, phone number, email and relation to the child | Signing in, notices, messages, fee reminders and emergencies |
| Messages between you and the school | Communication about your child |
| Documents the school uploads (for example a birth certificate) | Admission and school records |
3. Your consent for your child’s data
Because your child is under 18, the law asks for the verifiable consent of a parent or lawful guardian before most processing of your child’s data. In Acadvio, you decide yourself: the school asks, and you give or decline consent in the app or through a link in an email. School staff cannot record consent for you. We keep a record of who decided, when, how, and on which version of the notice.
You can withdraw consent at any time in the app or through the emailed link. The school is told, and decides with you what it must still keep (for example records the law requires). Withdrawing does not undo processing that happened before.
The law allows schools some processing without consent where it is needed for educational activities or for your child’s safety. The school can tell you what it relies on.
4. What you see, and what you don’t
- You see your own children: their day, homework, exams, notices, messages, fees and receipts.
- You never see teachers’ or staff phone numbers or email. You reach the school through messages in the app.
- If the school shows a class list, other children appear with name and roll number only.
- Teachers see your phone number masked (for example 98•••••210). A teacher can reveal it when needed, for example in an emergency, and every reveal is recorded so the school can check it.
- Messages are checked for abusive words in English, Hindi and Hinglish. A message that fails is not sent: the sender is asked to rephrase it and keeps the draft.
5. What never happens
- Your child’s data is never sold, never used for advertising, and never used to track or profile your child.
- We do not send SMS.
- Online fee payments go to the school’s own account; we never hold fee money.
6. Emails you will get
On school days you may get one summary email at 6 pm. Non-essential emails are held back between 8 pm and 8 am. Essential messages, such as sign-in codes, consent requests, fee receipts, results and emergencies, are always sent.
7. Keeping it safe
Each school’s records are kept in a separate database. Data is stored in India: the database in Mumbai, and hosting and files at DigitalOcean in Bengaluru. Connections are encrypted, documents open only through short-lived links, backups are encrypted, and staff access to sensitive information is logged. More on our Privacy & trust page.
8. Your rights, and how to use them
You have the right to:
- ask for a summary of the information held about you and your child, and who it has been shared with;
- ask for it to be corrected, completed or updated;
- ask for it to be erased when it is no longer needed, subject to records the law requires the school to keep;
- withdraw your consent;
- nominate someone to use these rights for you if you die or become unable to;
- have a complaint resolved, and then complain to the Data Protection Board of India.
Ask your school to use these rights; we help the school answer. You can delete your own parent account in the app at any time. Your child’s academic record stays with the school.
9. Complaints
