Fees
Fees that follow how Indian schools actually work
Monthly or term instalments, sibling and staff-ward concessions, RTE seats, cheques that come back, a cash limit set by law, and receipts your auditor can trust. Acadvio’s fee module is built around all of them.
The fee module is switched on for your school by Acadvio during setup.
Structures and rules
Set it up the way your fee book reads
Fee heads, class-wise structures and instalments, then the rules that change them: all in plain terms, with nothing switched on by surprise.
- Fee heads such as tuition, development, annual charges, computer and transport
- Class-wise structures, a yearly increase, and monthly or term instalments
- Mid-year joiners, and caution money that is refunded when a child leaves
- A rule library: preset rules arrive as inactive drafts you can switch on, edit or replace, plus rules of your own
- Every rule is versioned, simulated first, then approved; a new version never rewrites the past
- Fee-rule presets for 11 states, to switch on and adjust to your school
- A public fee structure page, for CBSE mandatory disclosure on your website
Concessions and controls
Generous where you choose to be, strict where it matters
Siblings and staff wards
A sibling discount preset: 2nd child 10%, 3rd and later 25%, on tuition. It can count siblings across your organisation’s schools if you want it to. A staff-ward discount sits alongside.
Maker ≠ checker
Concessions, waivers and refunds have approval limits. Nobody approves their own request: “You made this request, so someone else must approve it.”
RTE seats
RTE free seats are never charged on covered heads and never fined, and the RTE claim register keeps your reimbursement claims in order.
Late fees and reminders
Late fee is off until you turn a rule on. Reminders follow a gentle ladder with caps per family (one a day, four a month), quiet hours, and no reminder the day after a payment.
More time, extensions, waivers
Parents can ask for more time in the app. The office records extensions and waivers, one by one or in bulk.
Refunds and leaving
Refunds and credit with approval limits, caution money, and a no-dues summary when a child leaves.
The fee counter
Every mode your counter takes, every rule it must follow
- Cash, UPI, cheque, DD, bank transfer and card, with the reference each mode needs
- Cash of ₹2 lakh or more from one payer in a day is refused by default, in line with section 269ST of the Income-tax Act
- Cheques: deposit, returns with a return charge, and a register of post-dated cheques
- A day book, day close, and approval to reopen a closed day
- Family view: siblings who share a login are collected together
Receipts and certificates
Receipts with no gaps, and certificates in one go
Receipt numbers run per school and per financial year, with no gaps, so every rupee is accounted for.
- A5 receipts numbered CODE/FY/000001, for example ATS-DELHI/2026-27/000123
- Receipts are never edited: a correction is a cancellation, which needs approval, and a new receipt
- 80C tuition fee certificates for income tax, one at a time or in bulk for the whole school
- Registers and fee reports; dues by age; requests for more time on the principal’s Today

Numbered like the counter
Online payments get a numbered receipt too, under Receipts in the app.

Good to know
- Legal values such as the cash limit, RTE rates and the 80C wording come as presets for you to confirm with your CA.
- Strike-off is off; Acadvio can enable it on request.
- Not available today: Tally export, eNACH or AutoPay, donation (80G) receipts, and importing opening balances from other software.
The school’s own. Each school (or its trust or society) is the merchant of record with Cashfree and completes KYC in its own name. Payments settle to its own bank account; Acadvio never holds, routes or splits fee money. One trust with one PAN can use one account for all its schools.
By default the school absorbs them, so parents pay exactly the fee shown.
Parents pay only inside the Acadvio app, after signing in. There is no link to forward, mistype or fake, so a parent can’t be tricked into paying a look-alike page.
Receipts follow the pattern CODE/FY/000001: your school code, the financial year and a running number that never skips. A series code can be added for a separate counter. Tell us your current pattern in the demo and we’ll show you how it maps.
No. Late fees stay off until your school turns a rule on, for example ₹10 a day after the 15th, capped at ₹300 per instalment. RTE seats never get a late fee.
Not yet. Tally export is planned. Today you get the day book, registers and fee reports from Acadvio itself.
Bring your fee structure to the demo and we’ll walk through how it maps: heads, instalments, concessions and RTE seats.
