Why Acadvio

Built around the way your school really runs

One place for the whole school day

Attendance, timetable, substitutions, homework, exams, notices and fees work from the same classes and the same students.

Fees that follow how Indian schools work

Monthly or term instalments, sibling and RTE rules, cheques, the cash limit, 80C certificates and receipts with no gaps.

Privacy built in

Parents never get staff numbers. Teachers see parents’ numbers masked. Every sensitive view is logged.

Email from your own school domain

Notices and the evening digest go out in your school’s name, and with white-label, from your own domain.

Built for groups of schools

A trust sees all its schools together, while each school keeps its records in its own database.

See it in action

A school day in Acadvio

Follow one Friday at our demo school, from the first bell to the parents’ evening email.

7:50 am

Who isn’t marked yet?

Dr Meenakshi Rao opens Today before assembly. 28 of 30 sections are marked. Grade 10-A and Grade 6-A aren’t, and their class teachers are named right there. The children absent three days running are already listed for a call home.

9:00 am

Cover for an absent teacher

Mohammed Irfan called in sick, so his periods appear on the substitutions page straight from the timetable. For each one, Acadvio lists the teachers who are free, how many periods they already have today and whether they teach that class. Choose one, press Assign, and print the arrangement sheet for the staff room.

11:30 am

A fee at the counter, a receipt with no gaps

Rajesh Gupta, the accountant, finds Aarav Sharma. October’s tuition, development fee and the second half of annual charges come to ₹10,000. Aarav’s mother pays by UPI and he notes the reference. Receipt ATS-DELHI/2026-27/000123 follows the last one in sequence for this school and financial year, ready to print or email.

2:00 pm

Paying from the app, or asking for time

Shalini Kapoor pays Anya’s October fees in the Acadvio app by UPI, through Cashfree. The payment settles to the school’s own bank account, and a numbered receipt is generated for her. Another parent, whose salary is late this month, taps Ask for more time instead. The request waits for the school to decide, and shows on the principal’s fees card.

4:00 pm

Homework, and a word with a parent

Neha Sharma posts Monday’s Maths homework for Grade 8 and replies to Aarav’s mother inside the app. Pooja never sees Neha’s phone number. Every message passes a language filter that knows English, Hindi and Hinglish: if a word crosses the line, the sender is asked to rephrase and keeps the draft.

6:00 pm

One calm email in the evening

On school days parents get a single digest at 6 pm: notices, homework, holidays and attendance for each of their children. It arrives in the school’s name, or from the school’s own domain once white-label is set up. Non-essential mail waits outside quiet hours, 8 pm to 8 am; receipts, results and emergencies always go.

Fees

Fees that follow how Indian schools actually work

Not a payment button bolted on. A fee office: structures, rules, concessions, the counter, the day book and the receipts your auditor will ask for.

  • A rule library: presets you switch on, edit or replace, simulated before they go live
  • Maker-checker: nobody approves their own concession, waiver or refund
  • RTE seats with no fee and no late fee, and an RTE claim register
  • Cheques, post-dated cheques and returns, and the s.269ST cash limit
  • 80C tuition fee certificates, in bulk
  • Online payment through Cashfree into the school’s own account

Privacy & trust

Privacy you can explain to any parent

Built into how Acadvio works, not added as a setting you might forget to turn on.

Parents never get staff numbers

Parents don’t see a teacher’s phone number or email. They reach the school inside the app, so a teacher’s personal number stays personal.

Parents’ numbers are masked

Teachers see a parent’s number as 98•••••210. “Show number” reveals it whenever it’s needed, with no limit for emergencies, and every reveal is logged.

One year of history, for their own pupils

A teacher sees a child’s record from the previous year only, and only for children they teach now. Never contact details, documents or older years.

Every sensitive view is logged

Exports, bulk prints, documents opened, ID numbers shown, profiles viewed, long lists and contact reveals. The log keeps counts, not the data itself.

Privacy flags that never block work

Unusual patterns, like hundreds of profiles opened in an hour, raise a flag for the school. Limits are high and each school can tune them; only the organisation admin can relax a rule.

A language filter on every message

Messages, homework, notices and remarks are checked for abusive words in English, Hindi and Hinglish. The sender is asked to rephrase and keeps the draft; there is no lockout.

Getting started

From signed contract to go-live

A clear path, step by step, so your office knows what’s coming and nothing lands on the first day of term by surprise.

  1. 1

    Kickoff

We agree who does what, which schools and classes come first, and a go-live date that suits your calendar.

  2. 2

    Data import

Students, parents and staff come in from CSV or Excel templates, up to 5,000 rows at a time. Each file is checked before anything is saved, with a clear list of rows to fix.

  3. 3

    Fee setup

Fee heads, class-wise structures, instalments and the rules you use. Every rule is simulated before it is approved. Online payments connect to your school’s own Cashfree account.

  4. 4

    Training

Sessions for the office, accountants, teachers and school leaders, built around the work each role does every day.

  5. 5

    Go-live

Parents join the app, teachers mark attendance, and the fee counter starts issuing receipts.

  6. 6

    First-month support

We stay close while new routines settle, and help with anything that comes up in the first weeks.

Pilot programme

Become a pilot school

Acadvio is launching, and we’re working closely with a small group of schools first. Start with the pilot now and go fully live for the 2027-28 session. Fees can start with the new session.

What pilot schools get

  • Setup done hands-on with our team
  • A direct line to the people building Acadvio
  • A real say in what we build next
  • Help moving your student, parent and staff records in

What we ask

  • An hour of feedback each month
  • A named coordinator at your school
  • Willingness to try new screens early

Who it suits today

  • CBSE schools (report cards follow the CBSE format)
  • Pre-primary to class 12
  • Single schools or groups of schools
Apply to be a pilot school

Fee records start with a new session: balances from other software aren’t imported, so moving fees mid-session is done by hand.

Questions

Good questions, plain answers

Indian K-12 schools, from pre-primary to class 12. The school setup works for CBSE and state-board schools, and report cards follow CBSE grading from Nursery, LKG and UKG through class 12. A trust or school group can run all its schools in one organisation.

No, on purpose. Parents hear from the school through the app, in-app notifications and email, including one digest at 6 pm on school days. Push notifications on phones are coming soon.

Straight into the school’s own bank account. Parents pay in the app through Cashfree by UPI, card or net banking, and the school is the merchant of record. Acadvio never holds or routes fee money, and there are no payment links to forward or fake.

Yes. With white-label, we set up your own domain for the portal and for email together, so mail can come from an address like notify.yourschool.edu.in. Acadvio generates the DNS records for you to add, checks them, and re-checks them every day. If a record breaks, mail falls back to the standard sender and your admins are told.

Yes, for Android and iOS, with one sign-in for parents and one for teachers and school leaders. Principals get their Today view in the app too. Store listings are on the way; we’ll share the timing in your demo.

It depends on your school, so we plan it with you rather than promise a number of days. The steps are the same everywhere: a kickoff, importing your students, parents and staff, setting up fees, training each role, then go-live, with us close by in the first month.

Yes, for people: students, parents and staff come in from CSV or Excel templates, up to 5,000 rows at a time. Every file is checked first and you get a list of the rows to fix, so nothing half-imports. Fee structures and rules are set up with you; balances from other software aren’t imported, so fees are easiest to start with a new session.

Each school’s records live in their own database, backups are encrypted, parents never see staff numbers, and every sensitive view is logged. The full picture is on Privacy & trust.

Pricing is on request: plans are quoted per school or per group, based on your students, schools and the modules you use, with no per-message charges. How pricing works.
